DMP Tool “Upload” Instructions for Existing DMSPs

1. Log in to the DMP Tool, select “Upload Plan” from the top menu.

2. To upload a plan into the system and begin a new electronic DMSP, select the “Add Plan” button.

a. Note this dashboard shows a table of uploaded DMSP projects to which you have access and their completion status.

b. From here, you can also choose to edit an incomplete DMSP by clicking on the “Update” link in the table.

3. New Plan

a. Enter the Project Name.

b. Click the “Choose File” button and select the DMSP to upload. The file must be in pdf format and less than 1MB in size.

c. Click on “Save & Continue.”

4. Funder

a. Indicate whether the project has a funder using the radio button control.

b. If yes, begin searching for it by typing the funder name and then select it from the drop-down list.

c. Click on “Save & Continue.”

5. Enter as much metadata as you have available for the project. The fields include:

a. Project Number or ID. This is the unique identifier the funder has assigned to your project. This information is typically found in grant award notices, and is usually can be found in public notices on funder websites, etc.

b. Project Name. Enter all or part of the official project name/title.

c. Principle Investigator (PI). Enter the PI names, separated by a semicolon ';'. For example, “Jane Doe; Johnny Appleseed”.

d. Award Year. This is the year the funding was awarded.

e. As metadata is entered into these fields, search results begin to appear at the bottom of the webpage. Choose the “Select” button for the correct match. The button will change to “Selected.”

f. Click on “Save & Continue” at the bottom when ready.

6. With the project selection in step 6e, project details are completed automatically in the next sections via the funder’s API.

a. Review the information for completeness and accuracy. If you wish to change the Project Details because the wrong project was selected, hit the browser’s back arrow to go back and select a different project, or select “My project isn't listed” to enter these details manually.

b. If any information is missing, click the “Unlock & Edit” button to update the fields.

c. Click on “Save & Continue” at the bottom when ready.

7. The next page shows the plan outline of sections and their completion status.

a. Select “Contributors” and add additional project members if applicable (you can enter metadata such as ORCIDs, but this is not required).

b. If required information is missing for the project’s primary contact, you will be asked to provide it here. Note the PI must always be listed in this section.

c. Click “Save & Continue” when done adding members.

d. Select “Research Outputs” and add details about expected (or completed) outputs from the project.

e. Important: only list outputs that are detailed within the DMSP, such as datasets, code, software, etc. Do not include research articles published on the study, as these are not considered to be part of the DMSP.

f. Under 'repository,' select one of the listed repositories, and only enter new text if the repository is not included. For 'url,' enter the url of the repository itself (not the specific DOI for the output).

g. Click “Save & Continue.”

8. When all sections are completed to your satisfaction, finish the plan outline webpage.

a. Set the visibility as “Private” or “Public” via the radio-button control.

b. Register the plan and obtain a DMP ID by selecting one of two registration options.

c. “Return to Dashboard” allows you to exit the plan with all data saved, but the DMSP is not registered until one of the registration options is completed. It will return you to the Uploads table.

9. The plan's DMP ID will be viewable in the “Pilot Upload Projects” table, with a status of "Registered," within a few hours. In the coming weeks, potential research outputs that are identified for the project will be shown, along with a workflow to manually review and confirm whether the outputs are related.

Testing Notes

As you test the upload of an existing DMSP and provide feedback, please keep the goals of the pilot in mind:

* Testing DMSP upload functionality

* Testing the connection of existing plans to eventual research outputs

* Testing potential workflows at your institution

Development of the DMP Tool occurs in 2-week sprints and will prioritize work based on the pilot feedback. Therefore, we encourage you to spread out testing of the upload feature, as changes and improvements will be made throughout the pilot.
